What is OrderCentra?
It starts with a sale.
Then it connects the work around it.
Running a business means moving between customers, products, orders, people and numbers. OrderCentra brings tools for those jobs into one platform, beginning with the point of sale and extending to ecommerce and daily operations.
Follow a day at Kedai Aina, a fictional coffee shop. The story illustrates how the parts fit together; it is not a customer testimonial.
01 · The first sale starts with POS
Aina opens a small coffee shop called Kedai Aina. Before she thinks about an online store or a second outlet, she needs one thing to work well: taking an order at the counter.
A customer orders two coffees and a bag of beans. Aina selects the items in the point-of-sale app, checks the quantities and total, records the payment and prints a receipt. The sale now has a record she can return to later.
This is the starting point of OrderCentra. The POS app helps staff handle the transaction in front of them. With a supported device such as the SUNMI D3 Mini, the touchscreen and receipt printer become part of that everyday counter workflow.
For a café, the workflow can also include table orders, takeaway labels, queue numbers and kitchen tickets, depending on the setup. For a mini mart, it might begin with scanning a product barcode. The type of business changes; the need for a clear, traceable sale stays the same.
Then a regular customer asks, “Can I order before I arrive?”
02 · The same business gets an online front door
Aina’s regular customer wants to buy coffee beans from home and collect them later. With OrderCentra’s ecommerce tools, Aina can create an online storefront where customers browse products and place orders without standing at the counter.
She prepares the product information, organises categories and chooses how the store will handle payment and fulfilment. Delivery and collection options depend on what she configures for the business. Online payment methods also depend on the payment gateway she connects.
An online order brings a new responsibility: someone must review it, confirm its payment status and prepare it for delivery or collection. OrderCentra gives Aina tools to manage that workflow alongside her wider store operations.
The POS serves the customer in the shop. Ecommerce serves the customer on the web. Both belong to the same business, so the next step is to organise the product and stock information they rely on.
More ways to sell make accurate product information even more important.
03 · Behind every sale is a product and a stock location
Aina sells the same bag of beans at the counter and online. A clear product name, SKU, price and category help her team identify it consistently. The catalogue becomes the foundation for the products she sells.
Stock adds another layer. Some bags are on the shelf, some are in the storeroom, and a future outlet might hold more in a warehouse. OrderCentra’s inventory tools can help her check quantities by location, look up an item by barcode and record stock movements.
When Aina orders more beans from a supplier, a purchase order records what she expects to receive. Receiving the delivery is a separate step: if only part of the order arrives, the received quantity should reflect that.
She still needs to configure the relevant stores, locations and sales channels correctly. Connected devices need to sync for cloud information to reflect their latest activity. A shared platform works best when the business keeps its records accurate.
As the shop gets busier, Aina needs more people to work from the same information.
04 · One owner becomes a team
Aina hires a cashier and a second barista. Individual employee PINs help staff sign in under their own names. Roles and permissions help determine which tasks each person can carry out.
At the counter, a cashier takes an order. At a table, another team member can use a configured tablet to record the guests’ items. In the kitchen or preparation area, an order display or a configured printer helps the team see what needs to be made.
These are different views of the same working day. Connected workflows help the team pass an order from taking it to preparing it and handing it over. Real-time updates depend on the devices being online and correctly configured.
Recorded POS shifts also give Aina a way to review shift duration. Those hours come from the shift records; entering a PIN on its own is not the same as clocking in.
The order is finished, but the customer relationship does not have to end there.
05 · From a single purchase to a returning customer
A customer who first bought a coffee now orders beans every month. Another asks Aina to supply drinks for an office event. These interactions need more context than a checkout total.
OrderCentra includes customer-management tools for organising customer records. Where customer information is captured and linked through the configured workflow, the business has a clearer starting point for follow-up and service.
For an office enquiry, a quotation can describe the proposed products or services and their prices. An invoice records what the customer is being billed. Those documents serve a different purpose from a POS receipt, even when they relate to the same business.
Marketing tools can support communication with customers who have agreed to receive it. Aina can choose which of these tools fits her business instead of making every sale follow the same process.
At the end of the day, Aina wants to understand the whole picture.
06 · Close the day with a clearer view
The counter is quiet. Aina opens the web dashboard to review the activity recorded by the store. How much did it sell? How many transactions were completed? Which products or categories contributed most?
Sales reports turn those records into totals, trends and breakdowns. Payment-method views help her compare how customers paid. Inventory information helps her spot products that need attention before the next trading day.
Remote access means Aina can review available cloud information away from the counter. It is only as current as the activity that has reached the cloud. If a POS device has been working offline, supported local sales can be recorded on that device and synced when the connection returns; online payments still require the appropriate connection.
Accounting tools support the financial work that follows. Sales revenue, money received, business expenses and profit are related, but they are not interchangeable. Reviewing the correct records helps Aina ask better questions about the business.
Once the daily routine is working, Aina can connect the additional tools she needs.
07 · Add connections with a purpose
A payment gateway gives the online store a way to accept supported digital payments. A kitchen printer helps an order reach the preparation team. These connections solve specific tasks inside the business.
OrderCentra also supports access to business tools through MCP, a standard that lets compatible AI assistants connect to tools and information. With an authorised connection, an assistant can help with supported tasks using the access the account allows.
For example, a business owner might use an AI assistant to help work with catalogue information or website content. What the assistant can do depends on the available tools, the client and the permissions granted. The owner remains responsible for the changes made to the business.
Aina does not need every integration on her first day. She adds a connection when it solves a real problem in her workflow.
The shop can grow in stages, without making its first day unnecessarily complicated.
08 · Start small. Build around your business.
Aina’s story begins with a POS sale. Ecommerce gives her another way to reach customers. Catalogue and inventory tools help her organise what she sells. Staff workflows help her team serve people, while customer records, documents and reports support the work that continues after checkout.
That is what OrderCentra is: a business platform that brings POS, ecommerce and supporting operations into one broader working environment. The POS app handles the counter. The web platform provides tools to manage the business around it.
You can begin with the part you need most. Get your store details right, prepare a small, accurate catalogue and learn the order workflow. Then add the channels, devices and services that match how your business actually operates.
Feature availability depends on your plan, device compatibility and configuration. The guides in this help centre will walk through individual tasks; the three current tutorials cover store setup, product creation and order management.
